For your questions and changes in your team
Payroll management goes beyond payslips. We agree the monthly and annual work, communication with organisations and information to approve.
Preparation of payslips using agreed salaries and variable information provided: hours, absences, bonuses, expenses or changes in working percentage. You have the information needed to approve payroll before processing.
Calculation of deductions and contributions according to your employees’ affiliations and applicable parameters. Preparation of statements and correspondence with compensation offices and insurers within the engagement.
Identification of affected employees, preparation of returns and follow-up on reported changes of circumstances. Residence, permits and individual circumstances are examined at the start.
Preparation of salary certificates and annual declarations included in the engagement, based on the year’s payroll data. For a takeover, we identify the information to obtain from the previous provider.
Joiners, leavers and changes: we clarify how to send information and which work is included. One-off advice, prior-year corrections and exceptional requests are identified in your proposal.
Before the agreed date, you provide details of joiners, leavers, absences, hours and other variable items. We identify missing information.
The team processes the data and prepares the agreed payslips and statements. Points requiring clarification are discussed with your contact person.
You check the information and approve payroll according to the timetable. Payslip delivery and payment arrangements are defined from the outset.
Who makes the payments? Preparing payroll does not automatically give access to your bank accounts. Responsibilities, approvals and any payment-related services are agreed in the engagement.
We review your affiliations, employee data and payroll parameters. You know which documents to gather to prepare your first payslip.
We examine existing data, year-to-date totals and upcoming deadlines. The takeover timetable and any corrections are clarified before the handover.
Is your accounting managed in-house or by another provider? We can define a payroll-only engagement and organise the transfer of the necessary accounting information.
Review my payroll management →Payroll fees depend on headcount, payroll frequency and employee circumstances. We distinguish recurring support, annual work and initial setup.

SMEs, LLCs, corporations and self-employed employers who want to delegate all or part of payroll administration. We tailor support to your headcount and organisation, from your first hires.
Payroll means managing pay: preparing payslips, calculating deductions and contributions, and preparing statements and annual documents according to the engagement. We use both terms for the same support.
Employer information, contracts and employee data, compensation office and insurance affiliations, and remuneration parameters. For a takeover, we also request previous payslips, payroll totals and available statements. We send you a tailored checklist.
We examine each employee’s circumstances and the obligations to include in the engagement, particularly tax at source where applicable. Remote work and activity in several countries must be reported so that the necessary checks can be identified.
They can be included in your support. Your quote lists the certificates, statements and declarations selected, their frequency and fees. Monthly and annual work are therefore defined before starting.
Yes, a mid-year takeover can be organised. We review accumulated totals, declarations already filed and upcoming deadlines, then agree a transfer date. Any corrections are identified separately.
A payroll-only engagement can be arranged. If you want to combine payroll and accounting at Karpeo, we specify the services and coordination in your proposal.
We define who is authorised to discuss the engagement and how data is transmitted. Remuneration information should only be shared with the relevant contacts. Avoid sending employees’ personal data in the initial quote request.
